What is OPS?

OPS stands for Operations, which means the operations or exploitation department in a Logistics enterprise, especially FWD (Freight Forwarding).

The main task of an OPS employee is to manage, process and coordinate the actual stages in the Logistics supply chain, from customs declaration, declaration transmission, order taking, packing, delivery supervision until the goods are cleared through customs or delivered to customers.

OPS is the “bridge” between the departments in the company and partners in the field such as shipping lines, seaports, warehouses, customs, drivers, etc.

OPS positions in Logistics companies

In FWD company, there are many ways to divide tasks for the Ops department. Usually there are 2 main OPS positions, each position is in charge of different tasks but closely coordinated:

OPS transmits declarations (OPS declares)

  • Mainly works in the office.
  • Carry out customs declarations, transmit electronic declarations, process documents related to import and export procedures.
  • Monitor the declaration approval process and work with customs branches when needed.

Field OPS (delivery OPS)

Is the person who directly goes to the port, warehouse, airport … to do the actual steps:

  • Run delivery / receipt orders.
  • Sign documents with shipping lines, seaports, warehouses.
  • Work with field customs, apply HS codes, inspect goods (if any).
  • Ensure goods are delivered on schedule and accurately.

What does OPS do? – Specific tasks

An OPS employee can undertake tasks such as:

  • Transmit electronic customs declarations via the VNACCS system.
  • Prepare and check import and export documents such as invoices, packing lists, bills of lading, C/O, …
  • Carry out customs clearance procedures for goods with competent authorities.
  • Run orders to pick up and deliver goods at ports, airports, ICDs.
  • Work with shipping lines, CFS warehouses, ICDs, bonded warehouses, container yards.
  • Coordinate with customers, sales staff, and document staff to track shipments.
  • Handle incidents that arise at the scene: missing goods, incorrect goods, unexpected inspections, etc.
  • Hand over documents after customs clearance to accounting departments or customers.

The role and importance of OPS in Logistics companies

OPS is not simply a “field worker” – but the operator of the enterprise’s Logistics system.

The main role of OPS:

  • Ensure shipments are transported according to the correct procedures, on time, and in accordance with legal regulations.
  • Connect information between internal departments (Sales, documents, accounting) and external partners (customs, ports, shipping lines, etc.).
  • Solve practical problems in a timely manner, limit risks, losses and costs.
  • Build the company’s reputation and professional image in the eyes of customers.

Without OPS, all business plans, quotes and contracts will only be on paper. OPS is the one who transforms contracts into practical results, bringing goods “from theory to the field”.
